Generating payout bills
Turn finished work orders into vendor bills in bill pay, one per payee.
Generate payout bills turns a period's finished work orders into bills in bill pay, so you can pay cleaners and vendors in one run, such as weekly housekeeping.
Create payout bills
- On the Work Orders page, click Generate payout bills.
- Choose a Start date and End date.
- Narrow the run if you need to:
- Departments: for example, only housekeeping.
- Task types (optional): only tasks whose name contains one of these terms are invoiced, such as "departure, back to back, deep clean." Leave empty for all tasks.
- Choose how to Split bills by market:
- Off (one bill per payee)
- Unit code: first 3 to 6 characters, to group by the start of the unit code
- Breezeway group (city / area), to group by the Breezeway territory the home belongs to
- Optionally set a Default performed-on date for rows that don't have one.
- Click Preview.
Review the preview
The preview lists each Payee, the Market if you're splitting, the number of Work orders, and the Total. Check for:
- Possible duplicate cleans in the batch, listed with their dates. Review these before creating bills.
- Work orders that need attention, such as a missing payee.
Change any settings and click Refresh preview to update it.
Create the bills
Click to create the bills. Accountable creates one payable bill per vendor, per market when splitting, for the finished work orders in the window. Each work order records that A payable bill was created in bill pay from this work order, and it won't be billed again in a later run.
If the window has more work orders than one batch covers, you'll see a note. Run it again after creating these bills to pick up the rest.
From here, approve and pay the bills in Payments like any other bill.
Presets
Save the settings you use every week as a Preset: click Save preset and give it a name, such as "Weekly cleans." Pick it from Preset next time. To remove one, use Delete preset.
Bill a single work order
To create a bill for one work order, open it and click Create bill. The work order needs a payee, at least one line with an amount, and saved changes.
Tip: Bills use the base line amounts. Markup only affects what the owner is charged in your PMS, never what the vendor is paid.
