Inventory accounting settings
Choose how inventory charges post to your books, from simple recharges to perpetual inventory.
By default, inventory stays in your PMS: charges go to owners, and nothing extra posts to your general ledger. To reflect inventory in your accounting system, use Settings > Inventory > Accounting Sync. Confirm these choices with your accountant.
Post inventory charges to accounting
Turn on Post inventory charges to accounting to draft inventory charges in your accounting review queue. When it's off, inventory stays PMS-only.
Then choose How recharges post:
| Option | Effect |
|---|---|
| Post as recharge income | Charges to owners are recorded as income in your Default recharge income account. |
| Offset the original expense | Charges reduce the supplies expense account in Expense account to offset. |
Use Category overrides to route selected categories to a different recharge income account.
To post charges you recorded before turning this on, click Sync existing charges. They post on the next scheduled sync.
Perpetual inventory
Perpetual inventory changes how inventory affects your books.
- Off: purchases are expensed immediately.
- On: received stock is carried as an asset, and cost of goods sold is booked when stock is used or sold.
To turn it on, choose:
- Inventory asset account: the balance sheet account received stock is capitalized to.
- COGS account: where item cost moves when inventory is used or sold.
Both accounts are required. Click Turn on perpetual and review the confirmation carefully before you continue.
Cost method
Cost method sets the cost captured by new charges:
- Manual: the cost set on each item. This is the default.
- FIFO: oldest purchases are consumed first.
- Moving average: recalculated from receive costs.
Existing charges keep their recorded cost when you change the method.
Receive tracking
Receive tracking adds an Unreceived Purchases queue so stock increases only after delivery is confirmed. See Receiving purchases into stock.
Markup and categories
- Settings > Inventory > Markup sets your Default markup and per-category overrides.
- Settings > Inventory > Categories manages the categories used for items, markup, and accounting.
Tip: These settings are only available to roles with inventory accounting permissions. If you don't see them, ask an admin.
