Business, property, and mixed expenses
Choose the right allocation for each transaction so costs land with the right owner or your business.
Every expense has an Allocation Type that decides whether it's charged to an owner's property, kept as a business expense, or split.
The allocation types
| Allocation | Use it when | What happens |
|---|---|---|
| Property | The purchase is for one property. | You pick the property. The expense goes to that property's PMS review queue and carries the property's accounting defaults. |
| Business | The purchase is a company cost, such as office supplies or software. | The expense stays with your business. You can keep business transactions out of your PMS queue with Skip Business Transactions. |
| Mixed | One purchase covers several properties, or part business and part property. | The transaction needs to be split. Until it is, it shows as Mixed, Pending Split. |
| Inventory | The purchase is stock for a storage location. | Items are added to inventory and can be charged to properties later. Only shown when Inventory is turned on. |
Transactions with no allocation show as Unallocated.
Set the allocation
Field staff usually set the allocation from the text link. You can also set or change it on the web:
- Go to Transactions and click the transaction.
- Under Allocation Type, choose Business, Property, Mixed, or Inventory.
- If you chose Property, select the property. A property is required for this type.
- Click Save.
Finishing a mixed expense
A mixed transaction isn't complete until it's split. Open it and add a split for each property or business portion. See Splitting a transaction. Once split, it shows as Split.
Filtering by allocation
On Transactions, use the Allocation filter to find Property, Business, Mixed, Split, Pending Split, Inventory, or Unallocated transactions. Filtering for Pending Split and Unallocated is a quick way to find work that's blocking your sync.
Tip: The help text on the receipt link reads: "Choose a property for related expenses, check Business for general costs, or Mixed for bulk purchases." Share it with new field staff.
