What fields sync

The coding fields sent to your accounting system and PMS for each kind of transaction.

These are the coding fields sent to your accounting system and PMS for each transaction type.

To your accounting system

Transaction type Fields
Expenses Expense account (category), Class, Department, Location, Vendor
Bill payments Expense account, Class, Department, Location, Vendor
Payouts Customer and Invoice
Transfers From Account and To Account, plus class, department, and location when the transfer posts as a journal entry
Deposits From Account, Class, Department, Location

Every transaction also carries its date, amount, memo, and the Accountable account or card it came from, mapped to your G/L account on the Accounts page. With Include Property Name in Memo on, the memo includes the property.

For split transactions, the account and class are set on each split line instead of on the transaction.

Receipts are attached to synced expenses where your accounting system supports attachments.

To your PMS

PMS Fields
Track Track vendor, Track liability account, Track work order, markup
Streamline Work order, labor time, receipts, notes
Guesty Expense category, Guesty vendor
Hostaway Hostaway category
OwnerRez Expense category, vendor name, receipts
Buildium Buildium GL account, Buildium vendor, Buildium work order
Breezeway Task, cost with markup, receipts

Every PMS expense carries the property, amount, and description. Turn on Include Merchant in Synced Expense Transaction and Include Date in Synced Expense Transaction in your PMS settings to add the merchant and date to the description owners see.

Custom fields

Custom fields stay in Accountable. They're included in exports such as Export Expenses with Line Items, but they aren't sent to your PMS or accounting system.

Where values come from

Besides what you enter by hand, coding can be filled in by:

  • Accounting rules, based on merchant or recipient
  • Property defaults from Edit Accounting Fields on Properties
  • Account defaults in your integration settings, such as default markup or default bill accounts

You can always change a value before the transaction syncs.

Tip: Turn off Classes, Departments, or Locations in Settings > Integrations > Accounting if you don't use them. Fewer fields means faster review.
