QuickBooks Online
Sync expenses, bill payments, transfers, deposits, and bills to QuickBooks Online.
The QuickBooks integration posts your Accountable activity to QuickBooks Online, coded with categories, classes, locations, and vendors from your QuickBooks file. QuickBooks Desktop is also supported.
What syncs
| Accountable activity | Posts to QuickBooks as |
|---|---|
| Card and bank expenses | Expenses, with category, class, department or location, and vendor |
| Bill payments | Payments against bills, coded like expenses |
| Bills from bill pay | Bills, when Auto-Sync Invoices as Bills is on |
| Owner payouts | Payments tied to a customer and invoice |
| Transfers | Transfers between accounts |
| Deposits | Deposits, with a from account and class |
From QuickBooks, Accountable reads your chart of accounts, classes, departments or locations, vendors, customers, and open invoices for coding.
Connect QuickBooks
- Click Accounting in the left navigation, or go to Settings > Integrations > Accounting.
- Click Get Started and choose QuickBooks.
- Sign in to QuickBooks and approve access.
You'll see "Successfully connected to Quickbooks." A Quickbooks review queue appears under Accounting.
After connecting
- Map each Accountable account and card to its QuickBooks bank or credit card account on the Accounts page.
- Turn Classes, Departments, and Locations on or off in Settings > Integrations > Accounting to match your QuickBooks setup.
- Set class or department defaults per property with Edit Accounting Fields on Properties.
- Add accounting rules for common merchants.
QuickBooks Desktop
QuickBooks Desktop connects the same way. A few differences:
- The review queue shows Expenses, Bill Payments, Accounting Rules, and Sync History. Payouts, transfers, and deposits aren't synced.
- To sync an Accountable account to Desktop, enter its nominal code on the Accounts page and click Sync with Quickbooks.
Common issues
- "Your accounting connection is still being setup": the first connection is still preparing your QuickBooks data. Try again shortly.
- A vendor or category is missing: add it in QuickBooks. It appears in Accountable after the next refresh.
- Bill number rejected: Accountable shortens long invoice numbers automatically and keeps the full number in the memo.
- Transaction rejected for a closed period: see Fixing sync errors.
Tip: Turn on Include Property Name in Memo so property names show up in QuickBooks reports and searches.
