Managing users
Add, edit, disable, and re-enable the people on your Accountable account.
Admins manage users in Settings > Team > Members. The list shows each person's Name, Email, Phone, Role, and status.
User statuses
| Status | Meaning |
|---|---|
| Invited | An invitation was sent but not accepted yet. |
| Active | The user can sign in and receives texts. |
| Inactive | The user was disabled and can't sign in. |
Add a user
- Click Add User.
- Enter First Name, Last Name, Email, and Phone (optional).
- Choose a Role.
- Save. The user gets an email invitation.
To send the invitation again, choose Resend Invite from the user's options. To bring in a Ramp cardholder, click Import a Ramp User.
Change a user's role
Open the user's options, choose Modify Role, pick the new role, and save.
Edit a phone number
Phone numbers matter because receipt links and alerts are sent by text.
- Open the user's options and choose Edit Phone.
- Enter the number and click Save Phone.
To remove a number, choose Clear Phone. A phone number can belong to only one active user. If it's already in use, Accountable lets you transfer it from the other user.
Users can also update their own name, phone, password, and Notification Hours in Settings > Profile.
Disable a user
When someone leaves, disable them rather than deleting them, so their past transactions stay attributed.
- Open the user's options and click Disable User.
- Confirm.
Disabled users can't sign in and stop receiving texts. Their history is kept. To restore access, choose Enable.
If a user already has a login
Each email address can have one Accountable login. If the email is already in use on another Accountable account, you'll see "User already has an Accountable login." Contact support@accountablevr.com if they need access to your account too.
Tip: Review your team list each quarter and disable anyone who no longer needs access.
