Inventory overview

Track supplies in every storage closet and charge what's used back to properties.

Inventory tracks supplies in every storage closet and charges what's used back to properties. It starts from purchases you already make, so you don't need a spreadsheet to begin.

Inventory is turned on per account. If you don't see Inventory in the left navigation, ask your Accountable contact. Turning it on doesn't change your accounting or PMS syncing until you choose to.

How inventory works

  1. Stock comes in. When a purchase or bill is categorized as Inventory, or a purchase order is received, quantities go up at a storage location.
  2. Stock moves. Transfer items between locations as needed. Nothing is charged.
  3. Stock is used. Record a sale when items are used at a property. Stock comes out of the location and the property is charged cost plus markup.
  4. Charges sync. Charges roll up by property for owner statements and sync to your PMS.

Getting set up

The Finish setting up inventory checklist walks you through:

  1. Set up a storage location.
  2. Add your catalog, for example with Import from purchase history.
  3. Record stock, with opening counts or a receive.
  4. Charge your first item to a property.

Field teams

Field teams sell or move stock from a text-message link, with no login. See Charging items to properties.

Who can see inventory

What you can see and change in Inventory depends on your role. Markup and accounting sync settings are only available to roles with those permissions.

Tip: Low-stock alerts are opt-in per item. Set a reorder point on the items you never want to run out of.
