Security and access

Here's how Accountable protects your account, and the access and money movement controls admins can manage.

Signing in

Users sign in with their email and password. Each user has their own login, so never share logins between teammates.

To change your password, go to Settings > Profile and edit Password. Passwords must be at least 6 characters, and longer is better.

Automatic sign-out

After 30 minutes of inactivity, Accountable warns you and then signs you out.

Receipt links without logins

Receipt links let field staff add details without signing in. Each link:

• Is unique to one transaction and can only edit that transaction
• Expires after seven days
• Can be set to Single Use Links, so it can't be reopened after it's submitted

Role-based access

Each user's role limits what they can see and do. Only admins can move money, manage integrations, and manage users. See Roles and permissions.

Money movement controls

• Limits: your account has a maximum per outbound payment and per outbound transfer, shown in Settings > Account > Limits.
• Approvals: bill pay approval policies require sign-off before bills are paid.
• Verified bank accounts: external accounts must be verified before money can move to or from them.
• Recipient onboarding: inviting recipients lets vendors and owners enter their own bank details, so your team never handles account numbers.

Your accounts

Accountable accounts are held in your company's name and provided through Stripe and its partner banks. Business verification is completed through Stripe when you sign up.

Keeping access current

• Disable users the day they leave. See Managing users.
• Keep at least two admins.
• Review roles each quarter.
• Reconnect or deactivate card connections you no longer use.

If you notice activity you don't recognize, contact support@accountablevr.com right away.

Tip: Turn on low balance and large charge alerts so unusual activity reaches someone by text quickly. Contact support to set the thresholds.
