Mailed checks, tracking, and voids

Send checks by mail or print them yourself, track delivery, and void a check.

Accountable can mail checks for you or give you a print-ready check to print in your office. Both are drawn on your Accountable account.

Turn on check payments

In Settings > Account > Payments:

  • Mailed Checks lets Accountable print and mail checks on your behalf.
  • Print Your Own Checks lets vendors choose a print delivery preference. Instead of mailing, you get an emailed link to a print-ready check PDF. Enter the email address where print links should go, such as your accounts payable inbox.

Mailed checks

When you pay a recipient by check, it's printed and mailed to the address on file using the recipient's Check Shipping Speed. Open the payment in Transactions to see:

  • Check Number
  • Check Payment Status, such as mailed, paid, void, or returned
  • Delivery progress, including when it was handed to USPS and USPS facility scans
  • An Estimated delivery date

Estimated delivery dates are for guidance only and may vary due to bank processing, USPS transit, and federal holidays.

Printing your own checks

For recipients set to I'll print it myself, you receive an email with a link. Open it and click Print Check. Print on standard letter paper with a laser printer. You can reprint a limited number of times with Print Again. The transaction shows Print your own under Check Delivery along with how many times it's been printed.

Voiding a mailed check

  1. Open the check payment in Transactions.
  2. Click Request Void.
  3. Choose what happens once it's voided:
    • Return the funds: the amount is credited back to your account.
    • Send a replacement check: a new check is mailed to the same recipient at the address on file.
  4. Click Void and return funds or Void and send replacement.

Voiding a mailed check can take a few business days. You can only request a void once per check.

Voiding a printed check

Open the payment and click Void Check, then Yes, Void Check. The print link stops working and the funds are returned to your account. If the check was already printed, destroy every printed copy.

Tip: If a vendor says a check never arrived, check the delivery progress first. If it's stalled, request a void with Send a replacement check.
