AI bank feed cleanup

How AI matches pending and posted bank charges and assigns cardholders to your team.

AI bank feed cleanup keeps one swipe from becoming two transactions, and matches bank cardholder names to your team. Banks report each charge when it's pending and again when it posts, sometimes with a new ID, description, or amount after a tip or hotel hold.

Pending charges

When new pending charges arrive, AI compares them with pending charges from the last week. If a new one is the same charge reported again, Accountable updates the existing transaction instead of creating a new one.

Pending to posted

The bank links most posted charges to their pending version. For the rest, Accountable runs a daily AI match between unlinked posted charges and open pending charges. When they match, the receipt, property, notes and coding your team entered carry over to the posted charge.

See Duplicate detection for the other checks that run on card feeds.

Cardholders

Bank feeds report cardholder names the way the bank stores them, like "J SMITH" or "JOHN Q SMITH". When a cardholder isn't mapped to a user yet, AI matches the name to the right person on your team so receipt texts reach their phone. If you mapped cardholders by hand, your mapping wins.

Tip: If a charge looks doubled, open both rows before deleting one. Contact support with both transaction dates and amounts and we will check the feed.
