Receiving purchases into stock

Add purchased supplies to inventory from card purchases, bills, and purchase orders.

Add stock straight from a card purchase or bill, or track orders with purchase orders and receive them when they arrive.

From a card purchase or bill

  1. Go to Transactions and open the purchase.
  2. Set the Allocation Type to Inventory.
  3. In the Inventory section, choose each item, the quantity, and the location to receive into. If an item isn't in your catalog yet, you can create it here.
  4. Click Save.

Stock is added right away. Field staff can do the same from the receipt link when the Inventory field is on it.

With purchase orders

Purchase orders track what you've ordered from a supplier before it arrives.

  1. Go to Inventory > Purchase Orders and click New Purchase Order.
  2. Enter the Supplier and optional Notes.
  3. Click Add line for each item, with Qty and Unit cost.
  4. Click Create.

When the stock arrives:

  1. Open the purchase order and click Receive.
  2. Choose Receive into location.
  3. Enter the quantity received for each line. You can receive part of an order now and the rest later.
  4. Confirm.

Purchase orders show as Open, Partially received, Received, or Cancelled. To cancel one, open it and click Cancel PO.

Receive tracking

By default, stock is added the moment a purchase is recorded. If you'd rather confirm deliveries first, turn on Receive tracking in Settings > Inventory > Accounting Sync. This adds an Unreceived Purchases queue so stock increases only after delivery is confirmed.

With receive tracking on:

  • On a purchase or bill line, turn on Receive later ("Bill now, receive later"). Stock is added when you mark it received.
  • Go to Inventory > Unreceived Purchases and click Receive on each delivery as it arrives.

Reviewing what came in

Inventory > Receiving lists received stock in a date range, with item, quantity, location, source, and who received it.

Amazon Business purchases

If Amazon inventory sync is turned on for your account, products bought on Amazon Business appear in Inventory > Amazon Incoming. Match each product to a catalog item, create a new item, or ignore it, and confirm shipments as they arrive. Once a product is matched, future purchases of it flow into inventory automatically. Contact support to turn this on.

Tip: Use a purchase order for large restocks from a single supplier. It shows exactly what's still on the way.
