Receipts by text: how the link works

How field staff attach receipts and details from a text message, with no app or login required.

Right after a card purchase, the cardholder gets a text with a link. They tap it, fill in a short form on their phone, and they're done.

What the cardholder receives

Within moments of a card authorization, the cardholder gets a text like this:

"Accountable: Your Ramp card has been authorized for $84.12 at Home Depot. Here's a link to attach a receipt and other details to this transaction: [link]"

If a user has no mobile number but has an email address, the link is sent by email instead.

The link opens an Add Transaction Details page with the merchant, amount, and date. It steps through each field with Back and Next buttons. The default fields are:

  1. Attachment: take a photo of the receipt or upload a file. More than one attachment is allowed.
  2. Allocation: choose Property and pick the property, choose Business for general costs, or choose Mixed for bulk purchases that cover several properties.
  3. Notes: add a note about the purchase, or describe how a bulk purchase breaks down.

Your admin can add more fields, such as a Breezeway task, a PMS work order, an accounting category, or a custom field. See Transaction link settings.

When the cardholder taps Save, they see "Successfully saved!" and can close the page. They can reopen the link to edit details later unless your account uses single use links.

Things to know

  • No login needed. Each link is unique to one transaction.
  • Links expire. A link is valid for seven days. After that, details can still be added from the web app.
  • Spanish is supported. Links and texts can display in Spanish for teammates whose language preference is Spanish. Contact support to set this up.
  • Integration receipts. If a receipt will arrive automatically, for example from Amazon Business, the link says so.

Policy requirements

Each card expense is checked for three things: an attachment, an allocation, and notes. In Transactions, an icon shows whether Policy requirements met or Policy requirements not met. When requirements are missing, click the icon and choose Click to send reminder to text the cardholder a fresh link.

Tip: Turn on Auto Reminder so cardholders who skip a receipt get follow-up texts automatically.
