Charging items to properties

Record supplies used at a property so the owner is charged cost plus markup.

Record a sale when supplies from storage are used at a property. Stock comes out of the location, the property is charged, and the charge syncs to your PMS.

Record a sale in the web app

  1. Go to Inventory > Items and open the item, or start a sale from the item's stock actions.
  2. Choose Take stock from the location.
  3. Choose the property under Charge to property.
  4. Enter the quantity. You'll see the Total charged to property.
  5. Optionally link a Breezeway task or Streamline work order, and add notes.
  6. Click Record sale & charge property.

You'll see "Sale recorded: the property will be charged."

Let field staff record sales by text

Field teams can record what they used from a text link, with no login.

  1. Click Text a teammate (or Text a sale or transfer link).
  2. Choose a teammate with a mobile number on file.
  3. Optionally preselect the location. Otherwise, they pick when they open the link.
  4. Send.

The teammate opens the link, chooses the items and quantities, picks the property, and submits. They can also log a transfer between locations from the same kind of link.

How the charge is priced

Each charge is cost plus markup. Markup comes from, in order:

  1. The item's own markup
  2. Its category's markup override
  3. Your account's Default markup

Set these in Settings > Inventory > Markup. The cost captured depends on your Cost method: Manual (the cost set on each item, the default), FIFO (oldest purchases consumed first), or Moving average (recalculated from receive costs).

The Charges report

Go to Inventory > Charges to see every charge, with summary cards for Total charged, Units charged, Properties served, and Sales recorded. Charges roll up by property for owner statements. Export the report as a CSV.

Syncing charges to your PMS

Inventory charges appear in your PMS review queue on the Inventory Expenses tab. Review, mark ready, and sync them like other expenses. A charge that isn't ready yet shows "Complete the sync details from Accounting > Inventory Expenses."

Delete a charge

Open the charge and click Delete charge and restore stock. Stock goes back to the source location. Charges linked to a synced or work-order transaction can't be deleted.

Tip: Linking a sale to a Breezeway task or work order keeps supplies with the job they were used for.
