The two review queues

How Accountable keeps one queue for your PMS and one for your accounting system, and why.

Accountable gives you one review queue for your PMS (owner charges) and one for your accounting system (company books), so the same purchase can be coded for both without double entry.

Where to find them

Click Accounting in the left navigation. Under it you'll see one entry for your accounting system, such as Quickbooks, and one for each connected PMS or operations tool, such as Track, Guesty, or Breezeway. Each shows a badge with the number of transactions not yet synced.

The accounting system queue

This queue holds everything that should post to your general ledger. It has tabs for each kind of activity:

Tab What's in it
Expenses Card, bank, and connected card purchases
Bill Payments Payments made through bill pay
Payouts Owner payouts
Transfers Moves between accounts
Deposits Incoming money
Accounting Rules Rules that code transactions automatically
Sync History Past sync runs

QuickBooks Desktop doesn't include the Payouts, Transfers, or Deposits tabs.

The PMS queue

This queue holds property expenses headed to owners:

Tab What's in it
Expenses Property and split expenses
Inventory Expenses Inventory charges to properties (when Inventory is on)
Accounting Rules PMS rules, such as Track vendor or markup rules
Sync History Past sync runs

Business expenses can be kept out of this queue with Skip Business Transactions in your PMS settings, and connected cards can be kept out with Send transactions to PMS review queue.

One transaction, two destinations

A single property purchase appears in both queues. In the PMS queue you code it for the owner charge, such as the property, task, and category. In the accounting queue you code it for your books, such as the expense account, class, and vendor. Each has its own sync status, so syncing one doesn't affect the other.

Who can use the queues

The Accounting section is available to roles with accounting access, such as Admin and Bookkeeper.

Tip: Work through the PMS queue first each week. Owners see those charges, so getting them out promptly keeps statements on time.
