Transaction link settings and reminders

Admins choose what field staff see on the receipt link and how often they're reminded, under Settings > Account > Transaction Links.

Link fields

Link Fields is the list of transaction fields shown on the text link, in order. Three fields are always included and can't be removed: Notes, Allocation, and Attachment.

To customize the list:

1. Click the edit icon next to Link Fields.
2. Add the fields you want. Available fields depend on your integrations, for example:
   • Breezeway Task
   • Streamline Work Order and Labor Time
   • Track Work Order
   • Hostaway or OwnerRez Category
   • Accounting Category, Class, Department, or Location
   • Any Custom Fields you've created
3. Reorder the fields as needed. The link shows them one step at a time in this order.
4. Save.

Keep the list short. Every extra field is another step for someone standing in a store aisle.

Auto Reminder

Auto Reminder sends a follow-up text to cardholders who haven't completed their card expense. Reminders stop automatically once the receipt is uploaded.

1. Turn on Auto Reminder.
2. Set Remind every to a number of days, up to 7.
3. Set how many times to remind, from 1 to 5.
4. Save.

The reminder reads: "Accountable Reminder: Your transaction from [date] for [amount] at [merchant] is missing information," followed by a fresh link.

You can also send a one-off reminder from Transactions: click the policy icon on a transaction and choose Click to send reminder.

Single Use Links

When Single Use Links is on, links can only be submitted once. After they're submitted, they can't be opened again. Turn this on if you want details locked once a cardholder saves them. Leave it off to let cardholders come back and fix mistakes.

Notification hours

Each user can limit when they receive texts. In Settings > Profile, set Notification Hours. Text notifications are only sent within these hours, if set.

Tip: Your changes apply to new links. Links already sent keep the fields they were created with.
