AI vendor matching

How Accountable matches card merchants to the vendors in your accounting system.

AI vendor matching connects card merchant names like "HOMEDEPOT 4417" to vendors in your books like "The Home Depot", so you aren't picking a vendor on every row.

How it works

  1. A new transaction arrives from Ramp, an Accountable card, a connected bank card, or a payment.
  2. Your accounting rules run first. If a rule sets the vendor, matching stops there.
  3. If the vendor is still empty, AI compares the merchant name to the vendor list from your connected accounting system and fills in the closest match when it is confident.
  4. The transaction lands in your accounting review queue with the vendor filled in. Change it like any other field if it is wrong.

Which systems it works with

It works with every accounting system you connect: QuickBooks Online, QuickBooks Desktop, Xero, NetSuite and Sage Intacct. It applies to transaction types that sync with a vendor.

Your vendor list

Accountable keeps a copy of your vendor list for matching and refreshes it at least once a week. New vendors you add in your accounting system become available for matching after the next refresh.

When matching skips a transaction

  • A rule or a person already set the vendor.
  • No vendor in your list is a confident match. The vendor stays blank so someone can choose.
  • The transaction type does not sync with a vendor.

Tip: For merchants you see every week, add a merchant rule anyway. Rules are exact and always win, and AI covers the long tail.
