Items and stock

Build your catalog, record stock, and get alerts when supplies run low.

The Items page is your inventory catalog. Each item has a cost, a markup, and a quantity at each location.

Add your catalog

There are a few ways to get items in:

  • Import from purchase history: Accountable scans your last 12 months of business purchases and suggests items. Review the list, optionally use Clean up with AI to tidy names, and add the ones you want. Only admins can import from purchase history.
  • Import last 30 days of Amazon orders: pull recent Amazon Business purchases into your catalog.
  • Import CSV: upload a spreadsheet. Download the template to see the expected format.
  • Import from Breezeway: bring in your Breezeway supplies. See Breezeway inventory.
  • Add Item: create one item at a time.

Accountable flags items that look like ones already in your catalog, so you don't create duplicates.

  • Receive a purchase order
  • Enter an opening quantity or adjust stock on an item

To correct a count, edit the stock on the item. Corrections are recorded as adjustments in Activity.

Filtering and summary

The top of Items shows Catalog items, Units in stock, Inventory value, and Low stock. Filter by category or location, check Low stock only, or Show archived items.

Low stock alerts

Each week, admins with a mobile number get a text listing items at or below their reorder point. Items without a reorder point never alert.

Archive an item

Archived items are hidden from the catalog and can be shown with the archived filter. Select several items to archive them together.

Tip: Click an item to open its Item history and see every receipt, sale, transfer, and adjustment.
